KVKK Clarification Text | EDAD

Aesthetic Dentistry Academy Association (“EDAD”, “Association”), as the data controller under the Personal Data Protection Law No. 6698 (“KVKK”), would like to inform you about the processing of your personal data. Your data is processed solely for the purposes explained in this text, in accordance with the law and principles of integrity. 2. Categories of Processed Personal Data

Depending on the nature of your relationship with the Association, the following data categories may be processed:

Identity information: name, surname, and Turkish ID number requested within the scope of membership application.
Contact information: email, phone/GSM, full address, city, and district.
Membership and professional information: profession/title, employment status, documents required for application, and professional declarations.
Event/congress information: participation records, preferences, and visual records if any.
Financial information: payment and invoice details related to membership fees and event charges. Your card information is not viewed or stored by the Association; payments are processed through the licensed payment institution iyzico infrastructure.
Transaction security information: IP address, session records, and cookie data.

3. Purposes of Processing Personal Data

Receiving, evaluating, and managing membership applications and records,
Managing registration, participation, and organization processes for events, seminars, and congresses,
Collection of fees and event charges, invoicing, and accounting processes,
Responding to requests, suggestions, and complaints and communicating with you,
Sending newsletters, announcements, and information based on your consent,
Operating, improving, and ensuring the security of the website,
Fulfilling obligations arising from legislation.

4. Legal Grounds for Processing Personal Data

Your personal data is processed based on the following legal grounds in Articles 5 and 6 of the KVKK:

Being directly related to the establishment or performance of a contract (membership and event participation),
Being necessary for the Association to fulfill its legal obligations,
Being necessary for the establishment, use, or protection of a right,
Being necessary for the legitimate interests of the Association, provided that it does not harm your fundamental rights and freedoms,
In cases where these conditions are not present (e.g., commercial electronic communication/newsletter), having your explicit consent.

5. Method of Collecting Personal Data

Your data is collected through membership and event registration forms on the website, contact forms, email, phone, and cookies; in whole or in part automatically or as part of a non-automated data recording system, electronically.

6. Transfer of Personal Data

Your personal data may be shared with the following parties, limited to the purpose and in compliance with the conditions in Articles 8 and 9 of the KVKK:

Licensed payment institution iyzico and financial advisor/accounting service providers for payment and invoicing,
Technical service providers for website hosting, email, and SMS sending (only to the extent required by the service),
Authorized public institutions and judicial authorities upon request and as required by legislation.

The Association does not sell or transfer your personal data to third parties for marketing purposes outside of what is stated in this text.

7. Retention Period of Personal Data

Your data is retained for the period necessary for the purpose for which it is processed and considering the statute of limitations/retention periods stipulated in the relevant legislation. Upon expiration of the period or elimination of the purpose, it is deleted, destroyed, or anonymized. Financial records are kept for the duration specified in the legislation.

8. Your Rights as a Data Subject (KVKK Article 11)

Under Article 11 of the KVKK; you have the right to learn whether your personal data is processed, request information if it has been processed, learn the purpose of processing, know the third parties to whom it is transferred, request correction if it is incomplete/incorrectly processed, request deletion/destruction if conditions are met, request notification of these transactions to the parties to whom it is transferred, object to a result against you arising from analysis by automated systems, and request compensation for damages due to unlawful processing.

9. Method of Exercising Your Rights

You can submit your requests, along with information verifying your identity, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller; in writing to the above address or via email to edad@edad.org.tr. Your applications will be concluded free of charge within 30 (thirty) days at the latest, depending on the nature of the request; if the transaction requires additional cost, a fee may be charged according to the tariff set by the Personal Data Protection Board.

10. Changes

This Clarification Text may be revised in case of changes in legislation or updates in the Association's practices. The current text is always published on this page.
